Toronto Corporate Catering Delivery & Access Checklist

Corporate catering delivery being planned for a Toronto office

A street address is not a delivery plan. For an office tower, campus, warehouse, hotel, or event venue, the final few hundred metres can include security, parking, loading, elevators, gates, multiple buildings, and a room that is nowhere near reception. This checklist turns those details into one usable handoff.

1. Start with the fixed event facts

  • Event date
  • Guest serving time
  • Best-estimate and final headcount
  • Full delivery address
  • Onsite contact name and mobile number
  • Event type and room setup

Confirm catering with at least four hours' notice. Shawarma Moose normally schedules arrival 30–45 minutes before the event start. That window gives the contact time to receive the order and place it before guests begin eating.

2. Choose the format around the meeting

Individual bowls or wraps work when the meeting continues through lunch, guest-name or dietary labels matter, or people are split across rooms. Wrap platters suit a shorter meeting and a simple shared handoff. Buffets need room for trays, utensils, and a serving line but give the group more choice.

For a one-time client, team, executive, or all-hands meal, use the corporate lunch planning page. For a weekly or recurring workflow with saved access and finance details, use the office catering page.

3. Collect dietary information in a countable form

Ask for the selection and any allergy or ingredient-exclusion request by a clear deadline. For individual meals, reconcile the selection totals with the full headcount and provide guest names if labels are required. For a buffet, confirm which trays need labels or separation.

All meat served by Shawarma Moose is 100% halal. Vegan and vegetarian selections are also available. Gluten-conscious or dairy-free labels describe the confirmed ingredients; they are based on the confirmed ingredients and dedicated allergen preparation plan.

4. Write the receiving route

Location typeDetails to provide
Office towerCompany, suite, reception, parking or loading, security process, elevator, floor, room
CampusInstitution, building, closest entrance, loading or parking, elevator, room, onsite contact
Warehouse or industrial siteUnit, gate, dock or staff entrance, driver check-in, shift or serving time, onsite contact
Hotel or event venueEvent name, room, service entrance, allowed arrival window, venue contact, equipment rules
Condo or private venueConcierge or gate process, parking, elevator booking, party room, host contact
Park or outdoor eventPermit area, nearest parking lot, meeting point, reachable contact, weather backup

5. Separate food from optional operations

The package price covers the listed food. Delivery, 13% HST, disposables, beverages, desserts, and other add-ons appear separately when they apply. Setup, chafing dishes, cleanup, and serving staff are available only when quoted; linens and rentals are not offered. That makes it easier for the organizer and finance team to see what is included.

Payment methods include e-transfer or EFT, Visa, Mastercard, AMEX, cheque, and purchase order. Split invoices are available through EazePro. No mandatory deposit is required; payment is due on the event date before delivery.

6. Reconfirm the day before

  • Serving time and planned arrival window
  • Final address, building, room, and entrance
  • Onsite contact and backup contact
  • Final headcount and meal-selection totals
  • Security, parking, loading, gate, or elevator instructions
  • Any venue rule for food setup or equipment
  • Approved quote and payment status
