Shift-based catering means planning meals around the actual crews who are working, not one generic lunch order. For a warehouse, distribution centre, retail backroom or production floor, that usually means separate headcounts, break windows, receiving contacts and meal formats for the day, evening and overnight teams.
The useful question is not “Can we order catering?” It is: Which shift gets which meal, at what time, through which entrance, and in what format? If those answers are clear, the quote can be accurate and the handoff is less likely to interrupt work.
This guide is for operations managers, HR teams, office admins and site leads planning staff meals across Toronto and the GTA. If you already know the count and need a menu quote, use the warehouse staff catering page. If you are still building the plan, start here.
Start with a shift map, not a total headcount
A total like “120 employees” is not enough for a shift-based meal. The caterer needs to know how many people are eating in each window and whether those people share a break room, loading dock or receiving contact.
| Shift group | Meal count | Serving window | Meal format | Receiving details |
|---|---|---|---|---|
| Day shift | 70 | [11:30 a.m.–12:15 p.m.] | [Bowls / buffet / wraps] | [Entrance, contact, phone] |
| Evening shift | 35 | [6:00–6:30 p.m.] | [Bowls / buffet / wraps] | [Entrance, contact, phone] |
| Overnight shift | 25 | [1:30–2:00 a.m.] | [Bowls / wraps] | [Security desk / dock instructions] |
| Order total | 130 | Three requested meal windows | Quote each window separately | Confirm every handoff |
Use one row per requested drop. If one delivery covers two overlapping groups, say that. If the same order needs a second delivery later in the day, say that too. One food total should not silently turn into three separate delivery promises.
Download the blank shift-order worksheet and fill it in before you ask for pricing.
Choose the format by handoff speed
For shift-based catering, packaging is an operational decision. The same food can feel organized or chaotic depending on how employees receive it.
| Format | Best when | Watch-outs |
|---|---|---|
| Individually packed bowls | People eat in short or staggered breaks and need a defined meal. | Collect protein and dietary counts before packing. Labels help distribution but do not replace allergy review. |
| Wrap meals | The team needs a compact handheld meal with fast pickup. | Confirm whether the selected package includes sides, salad, drinks or fruit; wrap-only and wrap-meal orders are different. |
| Cut-wrap platters | A group has a shared table and a common break window. | Less precise for individual portions and dietary separation than boxed meals. |
| Buffet trays | Teams overlap and there is enough room for a serving line. | Needs table space, serving utensils and a clear plan for timing, supplies and cleanup. |
For Moose orders, labelled bowls and wrap meals usually make the cleanest handoff for staggered breaks. A shared buffet can work well when the team overlaps, but it should be planned around the room, serving window and equipment rather than treated like a box drop.
Plan the menu around the time of day
Night-shift catering does not need fake “energy hacks.” It needs practical food that people can eat during a real break. The Canadian Centre for Occupational Health and Safety notes that night work can disrupt sleep and appetite, and encourages employers to support balanced eating options for shift workers through workplace food services and facilities (CCOHS shiftwork guidance; CCOHS fatigue guidance).
- Day shift: buffet trays, bowls or wrap platters can work when there is a predictable lunch break.
- Evening shift: choose a complete meal that can hold through a dinner break without becoming too heavy for the second half of the shift.
- Overnight shift: favour easy-to-handoff bowls or wraps, clear labels and an agreed receiving contact. Avoid assuming a daytime delivery can sit safely for a 2 a.m. meal.
Food safety is part of the plan. Health Canada advises keeping hot food hot and cold food cold, outside the 4°C to 60°C temperature danger zone (Health Canada food safety guidance). For a late or overnight meal, quote the actual serving window instead of receiving food far in advance and leaving the site to manage holding conditions.
Calculate delivered cost by shift
A food price is not the same as a delivered invoice. Delivery, HST, extras and additional drops can change the per-person total. These examples use current Shawarma Moose starting prices, one standard $40 delivery and 13% HST. They are planning examples, not a completed quote.
| Menu format | 50 meals | 100 meals | What changes the quote? |
|---|---|---|---|
| Sandwich & Wrap Platter from $10/person | $610.20 | $1,175.20 | Selected wrap package, sides, supplies and delivery plan. |
| Mediterranean Signature Buffet from $13/person | $779.70 | $1,514.20 | Protein upgrades, setup, equipment, serving support and extra drops. |
| Boxed Lunch Bowls from $14/person | $836.20 | $1,627.20 | Protein selections, labels, dietary counts and delivery windows. |
If the order has two or three drops, ask for each drop to be itemized. A $14 boxed bowl for 100 people with one standard Toronto delivery is about $16.27 per person delivered before extras. The same food across multiple delivery windows may not have the same all-in cost.
For your own count and city, use the catering cost calculator, then request the final itemized quote.
Confirm dietary counts before the deadline
Shift-based orders can fail when every group handles preferences differently. Use one preference form or one organizer, and make the selection list short enough to count accurately.

All meat served by Shawarma Moose is halal and supplied by Arslan Shawarma Production. The kitchen does not handle non-halal meat, pork or alcohol; supplier documentation is available on request. Vegetarian and vegan choices should be counted separately, and allergies must be disclosed before booking so the selected ingredients and preparation plan can be reviewed. Read the halal sourcing page and the vegan and vegetarian catering page before finalizing the selections.
Give the caterer the site-access details
A shift meal often arrives through a different route than a normal office lunch. Include the full address, unit, gate, loading dock, security desk, parking rule, receiver name and phone number. If the night shift has a different entrance or security process, list it separately.
- Exact address, unit, dock, gate or staff entrance.
- Delivery window for each shift, not just the event date.
- Receiving contact and phone number for every drop.
- Where food should be set down and who signs off.
- Whether meals need to be grouped by shift, department or dietary label.
- Any required purchase order, invoice contact or split-invoice instruction.
Moose can arrange multiple shift-based drops, including late-night and early-morning windows, by arrangement. Each window, fee and any minimum is confirmed in the itemized quote.

When those details are ready, request a warehouse shift-meal quote. Inquiries are accepted 24/7 and itemized pricing is returned within a few hours; the request starts the quote process and does not confirm a booking.
